Vodacom Tanzania Plc is seeking a qualified and experienced professional to fill the position of Personal Assistant to HRD in Dar es Salaam. The successful candidate will provide high-level executive, administrative, and operational support to the Human Resources Director and the wider HR Department.

The role involves coordinating the HR Director’s schedule, meetings, travel arrangements, departmental activities, payments, leave administration, employee engagement activities, and various HR projects. The position also serves as an important coordination point between the HR Department, internal stakeholders, and external service providers.

Responsibilities

  • Manage and coordinate the HR Director’s calendar, appointments, meetings, and travel schedules.
  • Screen and prioritize correspondence, meeting requests, and departmental communications.
  • Ensure the HR Director is adequately prepared for meetings and engagements.
  • Organize logistics and administrative support for internal and external meetings.
  • Prepare presentations, reports, briefing materials, and other required documents.
  • Compile and consolidate documents according to different submission requirements.
  • Coordinate reports requiring input from different departments and ensure timely submission.
  • Coordinate HR departmental meetings, including weekly, monthly, quarterly, and strategy sessions.
  • Prepare and distribute meeting agendas in advance.
  • Attend meetings and prepare accurate minutes and action trackers.
  • Monitor agreed action points and follow up to ensure timely completion.
  • Coordinate employee engagement activities such as team-building events, team lunches, departmental celebrations, birthday recognitions, and special occasion acknowledgements.
  • Organize indoor and outdoor departmental activities.
  • Coordinate local and international travel arrangements for the HR Director and HR leadership team.
  • Facilitate flight bookings, accommodation, transportation, visas, and travel approvals.
  • Manage travel expense claims and reimbursement processes.
  • Support departmental budget tracking and expenditure monitoring.
  • Coordinate and process payments to vendors, contractors, and service providers.
  • Ensure invoices and payment documentation are submitted on time.
  • Process reconciliations and payments within the required turnaround time.
  • Maintain records of contractual obligations and supplier engagements.
  • Liaise with Finance and Procurement teams to ensure compliance with company procedures.
  • Manage leave planning and tracking for the HR Department.
  • Monitor leave balances and support workforce planning to maintain adequate departmental coverage.
  • Maintain HR departmental records, schedules, and administrative documentation.
  • Support onboarding logistics and other administrative activities when required.
  • Serve as a central coordination point for departmental communication.
  • Build effective relationships with internal stakeholders and external service providers.
  • Maintain professionalism, confidentiality, and accuracy in all communications and records.

Qualifications and Requirements

  • Bachelor’s Degree in Human Resources, Business Administration, Management, Public Administration, or a related field.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Training in Executive Assistance, Office Management, or Project Coordination.
  • At least 3 years of experience in an Executive Assistant, Personal Assistant, Office Manager, or Administrative Coordinator role.
  • Previous experience supporting senior executives or directors in a corporate environment.
  • Experience coordinating departmental activities, events, and projects.
  • Experience managing travel logistics, vendor payments, and expense administration.
  • Previous experience in Human Resources or People Functions is highly desirable.
  • Strong calendar and diary management skills.
  • Experience in meeting administration and minute taking.
  • Excellent organizational and planning abilities.
  • Strong attention to detail.
  • High level of confidentiality and integrity.
  • Strong interpersonal and stakeholder management skills.
  • Effective communication and presentation skills.
